1. Introduction

Jnana Prabodhini Foundation (individually or collectively, "JPF" or "we") respect your privacy and are committed to protecting it through our compliance with this privacy policy ("Policy"). Maintaining protection of the data entrusted to our care by our constituents is of the utmost importance to JPF. This Policy describes the types of data we may collect from you and describes our policies and practices for collecting, using, protecting, and disclosing that data. This Policy may change from time to time (see Changes to Our Privacy Policy section), so check the Policy periodically for the most current version.

2. Scope

This Privacy Statement applies to the JPF subsidiaries, affiliates, and other entities controlled by JPF (collectively, “JPF”). This Privacy Statement applies only when JPFis collecting or otherwise processing personal information for JPF’s purposes (i.e., when JPF (either alone or in common with other entities) is a controller determining the purposes for which and the manner in which any personal information is processed). The applicable JPF entity that is the “controller” of your data is the one with which you have a relationship, including for example: as

  1. A Visitor (e.g., visiting any of the websites hosted by the JPF), an volunteer (e.g., the volunteer that has expressed interest in participating in JPF activities and has entered into a relationship with JPF by submitting JPF volunteer form), or

  2. A Participant (e.g., the participant who has expressed an interest in participating in any of the activities organized by JPF). JPF encourages the periodic review of this Privacy Statement to stay aware of any changes to the Privacy Statement, or

  3. A Volunteer

  4. A Doner

For convenience, in several sections this Privacy Statement is organized by the category of data subjects identified below. Please note that in some situations, you may not fit perfectly into any one category (for example, more than one could apply, or you might not be a volunteer of JPF, yet the volunteer section is the most applicable). In this Privacy Statement, the term “processing” means any activity performed on personal information, including, for example, collecting, storing, modifying, transferring or otherwise using it. Additionally, this Privacy Statement does not apply to other information (non-Personal Information) that JPF may collect or otherwise process. In addition to this Privacy Statement, some JPF systems, applications, and processes may contain their own privacy notices, which provide additional details about what specific personal information is collected and how it is stored, used, and transferred.

3. What is Personal information

For purposes of this Privacy Statement, personal information is any information about a specific individual or that identifies or may identify a specific individual. In other words, it is any piece of information that can be linked to you. Examples of personal information that we may collect include, but are not limited to:

  • Contact Information (e.g., name, address, telephone number, emergency contact(s) information);

  • Identification and Verification Information (e.g., photographs, driver’s license, passport, other proofs of identity);

  • Information Security Data (e.g., communications created, stored or transmitted by a person on behalf of JPF) We collect several types of personal data that can be used to identify you ("Personal Data"), for example your: Name, Postal address, Email address, Telephone number, Donation history. Depending on the type of interaction that you have with JPF, we may collect interaction specific data such as Birth Gender, Current Gender Identification, Birth year, Occupation, Employer, Photographs/Images, and the like. Different categories of persons may be subject to additional collection of personal information, including but not limited to:


Visitors:

  • Personal and Business Contact Information (e.g., Visitor name, address, telephone number);

  • Client Relationship Management Information (e.g., information necessary to populate a customer’s profile or to facilitate marketing automation);

  • Feedback Information (e.g., person’s feedback, requested assistance and status of request); and

  • Visitor Satisfaction Information.


Participants:

  • Personal and Business Contact Information (e.g., Participant name, address, telephone number);

  • Participant Interest Information: (e.g., name, interested activity information, duration and availability for participation, address, telephone number, email address);

  • Financial Account Information and Billing Information: if the participant is looking to enroll in paid program (such as Bal Prabodhini session) or event, workshop (such as JPIP workshop), or other similar activities then following information may be collected: Preferred method of payment, financial account data, invoices, receipts, sibling discount information, and the like.

  • Client Relationship Management Information (e.g., information necessary to populate a customer’s profile or to facilitate marketing automation).

  • Feedback Information (e.g., Participant’s feedback, identified issue, name of JPF volunteer following up with the feedback, identified resolution, nature of requested assistance, date of requesting assistance and status of request).

  • Participation history Information (e.g. participated activity information, participation hours, role history, peer evaluation).

  • Background Information (e.g., birth date, marital status, dependent information, ethnicity and/or nationality).

  • Residency Information (e.g., work permit status), and

  • Professional Qualifications Information (e.g., work experience, education)


Volunteers:

  • Personal and Business Contact Information (e.g., name, Employment information (To avoid conflict information), address, telephone number);

  • Volunteer Interest Information: (e.g., name, interested activity information, duration and availability for volunteering, address, telephone number, email address);

  • Client Relationship Management Information (e.g., information necessary to populate a customer’s profile or to facilitate marketing automation).

  • Assignment Information (e.g., volunteer assignment name, assignment details such as duties, responsibilities, duration and the like).

  • Volunteer history Information (e.g. volunteer activity information, participation hours, role history, peer evaluation).

  • Volunteer Background Information (e.g., birth date, marital status, dependent information, ethnicity and/or nationality).

  • Residency Information (e.g., work permit status); and,

  • Professional Qualifications Information (e.g., work experience, education).


Donors:

  • Personal and Business Contact Information of the donor or prospective donor (e.g., name, Employment information (To avoid conflict information), address, telephone number);

  • Donor Interest Information: For (e.g., name, interested activity information, duration and availability of donation, address, telephone number, email address of person initiating donation request);

  • Client Relationship Management Information (e.g., information necessary to populate a doner’s profile or to facilitate marketing automation).

  • Legal liabilities information: JPF is subject to the laws of the United States of America, as such reserves the right to refuse donations that JPF has a good faith suspicion about the legality of the funding source. and

  • Donating agency’s business information (e.g., office address), financial account information (e.g., bank account information, trade references, financial statements), assets (e.g., property ownership), credit rating, tax identification, and diversity classification. JPF may use anonymized (or de-identified information), that was derived from personal information, but in its anonymized form cannot be identified with a specific individual. This de-identified information is not considered personal information for purposes of this Privacy Statement and is not covered by this Privacy Statement. However, if such information is used or formatted in such a way that it is possible for that information to be identified with a specific individual, then it will be considered personal information as appropriate.

4. How we collect Personal information

We collect personal data from JPF website visitors, JPF volunteers, JPF donors, JPF event attendees or participants. Various events may trigger data collection, for example, when information is provided via any online, or offline interaction with JPF. Data may be collected from JPF managed websites such as https://www.jnanaprabodhinifoundation.org (our website), or from other JPF websites that link to this Policy. Additionally, data may also be collected when you agree to become a volunteer for JPF, participate in our programs or sign up for and/or attend any program or events hosted by JPF or connect with JPF in another way. Various future functional features of our websites may result in the collection of additional personal data. You also may provide data to be published or displayed (hereinafter, "posted") on public areas of the Website or transmitted to other users of the Website or third parties (collectively, "User Content"). Your User Content is posted on the Website and transmitted to others at your own risk. We limit access to certain pages and you may set certain privacy settings for this data from your account profile. However, we cannot control the actions of other Website users with whom you may choose to share your User Content.

We use data that we collect about you or that you provide to us, including any personal data: To present our Website and its contents to you, To provide you with information that you request from us, To offer and fulfill our core business purposes, which include Fulfilling JPF's obligation to, and other individuals, Financial processing, Supporting JPF including fundraising efforts, Facilitating convention and special event planning, Communicating key organizational messages through JPF publications and other materials, Supporting the programs and membership of JPF, Complying with any legal obligations, Preserving JPF's legacy by building and maintaining accurate archives that effectively document JPF's history, To fulfill any other purpose for which you provide it, To carry out our obligations and enforce our rights entered into between you and us, including for billing and collection, To notify you about changes to our website, To allow you to participate in interactive features on our website, To help us develop and test updates to this Website and other JPF applications that support JPF's core purposes, In any other way we may describe when you provide the personal data, For any other purpose where we have your consent.

6. Who Do We Disclose Your Personal Data:

We may disclose aggregated data about our users, and data that cannot be used to identify any individual, without restriction. We may disclose personal data that we collect or you provide as described in this Policy:

  • To the JPF

  • To contractors, service providers, and other third parties we use to support our business and who are bound by contractual obligations to keep personal data confidential and use it only for the purposes for which we disclose it to them, including:

  • Payment processing vendors

  • Financial institutions and fiscal agents when processing financial transactions, such as expense reimbursements

  • Software and applications used for administrative functions such as providing online forms/surveys/applications, newsletter services, online learning, webinar/teleconference services.

  • Cloud-based databases used for administrative functions

  • JPF committees and other event organizers and vendors

  • Email distribution services

  • To third parties to promote JPF or for the third party to market their products or services to you if you have consented to these disclosures. We contractually require these third parties to keep personal data confidential and use it only for the purposes for which we disclose it to them.

  • If you do not want us to share your personal data (even when anonymized) with unaffiliated or non-agent third parties for advertising or promotional purposes, you can send an email stating your request to secretary@jnanaprabodhinifoundation.org

  • To fulfill the purpose for which you provide it

  • For any other purpose disclosed by us when you provide the data

7. JPF Foundation Donor Privacy Personal Data

JPF will not sell, trade, or share a JPF donor's personal data, including their name, phone number, email, or physical address, with non-JPF entities, nor will it send donors mailings on behalf of other unrelated organizations. This policy applies to all donor data received by JPF, both online and offline, as well as any electronic, written, or oral communication. JPF occasionally uses third-party vendors to manage and process donor data. These vendors are bound by strict confidentiality agreements.

8. How Do We Protect Your Data (Data Security Measures)

We have implemented technical and operational measures designed to secure your personal data from accidental loss and from unauthorized access, use, alteration, and disclosure. Additionally:

  • When developing new or enhancing existing systems and processes, JPF implements appropriate data protection throughout its data processing operations.

  • All personal data you provide to us is stored on password-protected databases on our secure servers behind firewalls and we use Secure Sockets Layer (SSL) to ensure that the transmission of sensitive data for payments and contributions is encrypted and appropriately safeguarded.

  • We have a documented incident response plan for promptly acting upon events that violate JPF's security or privacy policies, should they occur, and this plan is reviewed and updated on an ongoing basis.
     

The safety and security of your personal data also depends on you. Where we have given you (or where you have chosen) a password for access to certain parts of our Website, you are responsible for keeping this password confidential.

Unfortunately, the transmission of personal data via the internet is not completely secure. Although we do our best to protect your personal data, we cannot guarantee the security of your personal data transmitted to our website or over any public network. Any transmission of personal data is at your own risk. Without prejudice to any mandatory legal obligations to which we may be subject, we are not responsible for circumvention of any privacy settings or security measures on our Website.
